Remedies/Medications may be issued as part of a consultation or issued/reissued directly to the client from client list without the need of consultation.
Labels for remedy/medication bottles/packaging included detailed dosage instructions can be printed using a Dymo LabelWriter either attched to your computer or accessable through a network.
Analyze Your Business Quickly & Easily With ClinicDirector
Every time you create or complete a booking ClinicDirector saves useful information that can be used to assist in evaluating exactly how your business is performing.
When a new booking is created ClinicDirector not only records the booking details, it also calculates the following statistics automatically -
- Whether the booking relates to a new or existing client.
- Booking lead time. How many days are there between the client making the booking and the actual date of the booking.
- If the booking relates to an existing client, how many days have there been between the client's last booking and the next booking.
Here are just some of the statistics ClinicDirector automatically tracks for you on completion of a booking -
- If you pay your therapists/practitioners a percentage or fixed amount for each treatment they provide the amount the practitioner has earnt from performing the treatment will be recorded.
- Average Fee. ClinicDirector can provide average fee details based on individual client/s, day of week and/or specified date range.
- Average duration of treatment based on individual client/s, day of week and/or specified date range.
- ClinicDirector can optionally be configured to calculate the merchant/transaction fee for credit card and EFTPOS payments.
- If ClinicDirector has been configured for referral commissions, the commission amount will be automatically calculated.
- If you have a loyalty reward program set up, client reward points are automatically calculated. Any reward points used as part of the payment will be deducted from the available balance.

ClinicDirector allows for the display of bookings in either 'Practitioner View' or 'Treatment Room View'. The format of the booking grid may be customised further providing options for the format of time bars, time intervals and appointment details
Full Multi-Modality/Multi-Practitioner Functionality
Using ClinicDirector's multiple modality/multiple practitioner features you may -
- Set up as many modalities as you like (Massage, Physiotherapy, Chiropractic, Homeopathy, Naturopathy, Acupuncture, Podiatry etc.) There is no limit to the number of modalities that ClinicDirector can be configured to manage.
- You can license ClinicDirector for any number of practitioners.
- You may optionally limit practitioners to modalities/treatment types that they are qualified to perform. For example you can ensure that only practitioners qualified to perform acupuncture can be assigned acupuncture bookings.
- Modality specific treatment types and service fees. You can set up various treatment types under each modality. For example you could configure Remedial Massage, Relaxation Massage, Hot Stone Massage, Sports Massage etc under the 'Massage' modality.
- Fee structures can be defined on an individual modality/treatment type combination.
Feature Packed Practitioner Management
ClinicDirector offers enhanced practitioner management features including -
- Colour coded bookings - you can configure the system to display client bookings in different colours for each practitioner. This allows your practitioners to identify bookings assigned to them in a glance.
- Health Fund Provider Numbers - store each practitioner's health fund provider numbers. ClinicDirector will automatically include the practitioner's provider number on the client's receipt.
- Authorise individual practitioners for specific modality/treatment types. Ensure that practitioners aren't assigned treatments that they are not qualified to perform.
- Customised treatment fee splits. If you pay your practitioners a percentage or fixed amount of each treatment fee, you may optionally override the default split amount on a practitioner by practitioner basis. For example you may pay a Remedial Massage Therapist $40 of a 60 minute treatment and a Massage Therapist $30 of a 60 minute treatment.
- Practitioner Availability. You may set up the days and times of the week when each practitioner is available. These times may also be set using date ranges. Using this feature you may also set days and dates when the practitioner is not available, eg. holidays, away on courses etc.
Flexible & Dynamic Fee Scheduling
Fees may be structured on a modality, treatment type and treatment duration combination. Further to the standard service fee setup, ClinicDirector now also allows for service fees to the restricted by date, time of day, day of week or a combination of all three.
At the time a booking is made, ClinicDirector will only display fees that are available for the selected date, day of week and time of day (if these restrictions have been set).
Using this enhanced functionality you may -
- Set fee increases starting at a date in the future.
- Restrict fees to a date range. This is useful for time limited promotions etc.
- Restrict fees to specified days of the week. Using this feature you can instruct the system to use a different fee structure for different days of the week. For example fees can be restricted to weekend days only etc.
- Restrict fees to certain times of the day. For example, you may wish to charge $60 an hour between 8.30am and 5.30pm and $70 an hour between 5.30pm and 9pm.
If you pay your practitioners a percentage or fixed amount per treatment they perform, the default split amount may be set on a fee by fee basis.
Any number of date, day of week and time of day restrictions may be set on a fee by fee basis, allowing total control over your fee schedule.
Automatic Reminders
How many times have your clients missed a booking simply because they forgot or got the date or time mixed up? How much time do you spend calling or messaging your clients to remind them of their booking?
If your computer has access to the internet, ClinicDirector may be configured to automatically send out reminder texts (via SMS) or emails to your clients. This is just another feature ClinicDirector offers to increase your income and reduce your 'no show' rate.

Enhanced Messaging
In addition to the being able to automatically send SMS or Email messages to your clients, ClinicDirector also provides automatic messaging to your therapists/practitioners.
ClinicDirector may be configured to send an SMS and/or Email to your practitioners whenever -
- A new booking is assigned to a therapist
- A booking is cancelled
- Booking information is modified
- A booking is rescheduled
- A booking is reassigned to another practitioner
ClinicDirector allows you to format the text for each type of message. This feature is particularly useful for mobile massage agencies, allowing them to automatically notify their therapists while they are out on the road.
Track Your Advertising Dollars
Using ClinicDirector's 'Source of Business' feature information on what advertising is working and what advertising isn't working is readily at hand.
As with all other areas of ClinicDirector, the Source of Business selection list is fully user configurable. Learn how many new clients you are getting through various promotions, newspaper advertising, yellow pages advertising, letterbox drops, mailouts, client referals etc.

- Daily, weekly and monthly appointment display views
- User selectable day view. Users can display a group of days by simply clicking and highlighting the required days in the calendar panel.
- Drag and drop appointments. Appointments can simply be dragged to another therapist/practitioner, day or time slot - or a combination of all three.
- Allows for selection of a reason for cancellation. Great for analysing and reducing missed or cancelled appointments.
- Health fund provider numbers can be configured for each therapist/practitioner. On completion of the booking the correct provider number will automatically be printed on the receipt as per the Health Fund attached to the client record.
- Powerful management of vouchers. Vouchers may be configured as product sales items to allow for any number of treatments. E.g. One (1) treatment for a Gift Voucher or ten (10) treatments for Ten Packs. On presentation of the voucher, the redemption value and date is recorded by the system as part of the client payment record. Voucher management allows for easy access to information relating to vouchers including outstanding vouchers, expired vouchers and voucher redemption history.
- Users may set up a reward/loyalty program. Reward points are calculated automatically at the completion of the client booking. Points can be calculated based on dollar spend, hours or visits and applied as free minutes, dollars or discount percentage. The reward program can also be configured to -
- restrict reward point calculation to a specific date range (ideal for double points or other promotions)
- apply an expiry date to calculated points
- allow points to be transferable
- set the maximum number of points that can be redeemed per visit.
On redemption of points, the system will display the currency value of the reward points to be redeemed.
- Fee Splits. At the completion of each booking, the fee charged for the treatment is automatically split according to the configuration settings of the system. Fee splits include therapist amount, commissions, tax amount and merchant fees
- Client payment methods. Allows for the configuration of payment methods.. Caters for cash, credit card, account, voucher and reward point redemption. Surcharges can be applied to selected payment types - e.g. a surcharge of 3% can be applied to Visa payments. When completing the booking the surcharge is calculated on the amount paid using the Visa - for example $60 on Visa would result in an additional $1.80 surcharge, converting the amount paid to $61.80.
- Clients may pay for their treatment using any combination of payment methods
- Allows for payment to be transferred to Accounts Receivable ledger for approved clients.
- Customisable reports - ClinicDirector comes with a number of standard formats for receipts, invoices, expense vouchers, remittance advice forms and payment vouchers. Any of these forms can be customised on request to include company logo, association logo (association authorization required), additional information or simply a change in layout.
- Referral Partners. Track where your referrals are coming from. This feature is also used to calculate any commissions payable. Referral partners can include other health care modalities, colleagues etc.
- Repeat bookings. The system can automatically create future bookings based on weekly or daily intervals e.g.- weekly for next 4 weeks, every 3 days for 10 visits etc. Ideal for pre-booking a client based on prescribed treatment plan.
- Waitlist allows for the recording of client details who wish to make a booking for a day or time that is unavailable. In the event of cancellation, a booking can be created directly from the recorded waitlist information
- Financial reports - designed to provide access to a wide variety of financial information.
- Statistical reports - designed to provide a view to the 'shape' of your business. Includes totals, percentages, averages based on client and booking data.
- Stock Control - stock tracking for selected retail products and remedies/medications. Provision for stock take and stock receipt entry.
